Location: Milwaukie, OR

 

Summary: Responsible for initiating and keeping track of all purchase orders using the Open PO report, conducts necessary follow up with vendors, processes invoices and works with accounts payable on any issues pertaining to service ticket discrepancies. Follow up with Project Manager's for Subcontractor set up as well as truck and equipment rentals for installations. Purchasing Assistant supports Purchasing Manager and Purchasers as needed.

 

Duties and Responsibilities: include the following. Other duties may be assigned.

 

  1. Pull open Purchase Order (PO) report on a daily and or weekly basis.
  2. Follow up with vendors, technicians, and office managers in order to confirm that all PO's have been received by vendors and are processed.
  3. Process invoices daily, utilizing our database (Microsoft Dynamics) to confirm status of PO receipt.
  4. Reconcile product cost to be consistent between CSG PO and vendor invoice.
  5. Work closely with Purchasing Manager and Purchasers to get discrepancy resolved.
  6. Work with vendors to keep updated pricing.
  7. Set up Subcontractor and Truck/Equipment Rental agreements as needed.
  8. Order inventory of Tools for Technicians as needed.
  9. Maintain Amazon purchasing account status.
  10. Maintain an up to date Return Merchandise Authorization (RMA) spreadsheet.
  11. Act as liaison between RMA specialist and warehouse team to help manage repaired/returned items.
  12. Assist with RMA shipping needs
  13. Work with Managed Services to manage INVR/hard drive retention inventory.
  14. Follow-up with technicians to ensure timely shipment of items to be returned to vendors and/or the warehouse.
  15. Research credits/invoices unrelated to open RMA's.
  16. Assist with online RMA submissions, as needed.
  17. Research and respond to RMA inquiries from accounting and other departments, as requested.

 

Qualifications

  • HS Diploma or GED equivalent required; Bachelor's degree strongly preferred.
  • 1-2 years related experience and/or training; or equivalent combination of education and experience.
  • Intermediate computer skills such as Microsoft Word, Outlook and Microsoft products (such as Microsoft Dynamics).
  • Ability to lift and/or move up to 50 pounds.
